No-shows: how to reduce missed appointments with your website
Every missed appointment is an hour you could have given to someone else. Why it happens and what helps, both on your website and in how you work.

Your diary is full, you turn someone away because there is no slot left and, when the time comes, nobody turns up. In a hair salon, a therapy practice or a physio clinic, missed appointments are unpaid hours someone else would have taken.
You cannot eliminate them entirely, but you can reduce them a lot.
Why missed appointments happen
It is rarely bad faith. Usually:
- They forget. Perhaps they booked three weeks ago and did not write it down.
- They do not know how to cancel, or feel awkward calling to say they are not coming.
- The details were unclear: the time, the address, what to bring.
- They booked without being sure, because it was easy and there was no commitment.
Each cause has its remedy.
Make the appointment clear and in writing
When someone books, they should immediately get an email with the day, time, address and anything they need to know. It is what helps most for them to remember, and it puts everything at hand on the day.
Make cancelling easy
It sounds backwards, but it works: if cancelling is simple, people let you know. If it is hard, they simply do not come.
- Say on the website and in the confirmation email how to let you know if they cannot make it: a WhatsApp message, an email, a call.
- When you cancel an appointment yourself, the person should get notified by email.
- The freed slot can go to someone else.
Reminders against missed appointments
A message the day before cuts no-shows a lot. Some businesses do it by hand on WhatsApp for the next day's appointments: five minutes, and people appreciate it. With a high volume, there are tools that send SMS or WhatsApp reminders, usually with a monthly fee.
A clear policy on missed appointments
Without scaring anyone, but make it known:
- How much notice people must give to cancel.
- What happens without notice: for example, they book the next appointment by phone.
- If you take a deposit or upfront payment for some services, say so before booking.
Put it on the booking page and in the FAQs. Written naturally, it comes across as professional and does not put people off.
Real contact details
Ask for name, email and phone when people book. If someone is late or does not arrive, you can call them. And if the details are fake, you know that booking was not reliable.
How I do it
With the Nueva Página Online booking plan, your customers book from your website with their name, email and phone, without creating an account. They get an automatic email confirming the appointment, and another if someone cancels it. From your private dashboard you see appointments, block times and cancel when needed. It costs €599 + VAT where applicable as a one-off payment, complete website included; see online booking website.
How to measure your missed appointments
To know whether you are improving, you first have to count. For one month, note how many appointments you had and how many people did not turn up without warning. Then try one change, such as a reminder the day before, and count again the following month. That way you learn what works for your business, not someone else's.
Also notice when they happen: no-shows often cluster around appointments booked far ahead or at certain times. In that case, you may want to limit how far in advance people can book. If you decide to take a deposit, explain it before booking; the EU's Your Europe guide to price indication covers how to show prices and conditions clearly. And if your diary still lives on the phone, read about online booking benefits. You can only improve what you measure.
Frequently asked questions
Does charging upfront prevent missed appointments?
It reduces them a lot, but it also puts off first-time customers. Many businesses only ask for it on long or expensive services.
What do I do with someone who misses several times?
Talk to them naturally. If it keeps happening, you can ask them to confirm future appointments by phone.
Does online booking increase no-shows?
Not if you confirm the appointment clearly in writing and cancelling is easy. And because people can book at any hour, it fills slots that would stay empty by phone.
Does the booking system notify the client if I cancel?
Yes. With the Nueva Página Online booking plan, clients get an email when they book and another if the appointment is cancelled. See the online booking website.
